We must keep a written record which includes:
- our purposes
- the categories of data
- who it is shared with
- how long we keep it for
We must keep the ROPA under review to ensure that it is accurate, and we must share it with the Information Commissioner's Office (ICO) if they request it.

Role of the Information Governance team
The ROPA is maintained by our Information Governance team. Directors accountable for ensuring the ROPA is an accurate reflection of data processing in their directorate.
As well as demonstrating our compliance with the legislation, the ROPA can support us with:
- records management and security
- managing data breaches if they occur
- enabling people to exercise their data rights – including being able to access a copy of their data
